In this Privacy Notice, PakuKympillä Oy explains how it processes personal data, what personal data it collects, for what purposes the data is processed, to whom personal data may be disclosed, and how you can influence the processing of your personal data.
This Privacy Notice also describes the obligations that PakuKympillä Oy complies with when processing personal data. PakuKympillä Oy follows the Finnish Data Protection Act (1050/2018), the EU General Data Protection Regulation (GDPR) (EU 2016/679), and all other applicable legislation. Personal data includes any information relating to an identified or identifiable natural person.
Personal data therefore includes information from which a person can be identified directly or indirectly, for example by combining one piece of data with another piece of information that enables identification.
A person may be identified, for example, by name, personal identity number, or another characteristic unique to them. All rental vehicles are connected to the PakuKympillä vehicle tracking system, and the vehicles are equipped with tracking devices. These devices collect information about the vehicle’s movements and location. In addition to personal data, PakuKympillä Oy may also collect non-personal data, meaning information regarding the use of PakuKympillä Oy’s website that cannot be used to identify an individual.
Name of the Personal Data Register
The name of the personal data register is the PakuKympillä Oy Customer Register.
What Personal Data We Collect, From Which Sources, and the Basis for Collecting
PakuKympillä Oy collects customers’ personal data for the purposes of managing the customer relationship, providing the service, verifying and monitoring customer transactions, analysing and compiling statistics, and similar purposes.
Additionally, PakuKympillä Oy seeks to identify and prevent suspected fraud, identity theft, and other criminal activity, thereby protecting the relevant individuals and detecting misuse or potential issues in the service as early as possible using accumulated historical data.
The collection and storage of personal data is based on the customer relationship between PakuKympillä Oy and the data subject.
PakuKympillä Oy collects and stores only the personal data necessary for managing the customer relationship. The register is kept up to date based on information provided by the data subjects. The processing of personal data is outsourced regarding the key-automats, vehicle tracking, and reservation systems. PakuKympillä Oy collects data that users provide when using the company’s services. Services are provided via the websites www.pakukympilla.fi and www.varaapakukympilla.fi.

First and last name (for identifying the customer)
Address (for billing if needed and for services used by the customer)
Personal identity number (for identification, verification, possible credit checks, and invoice collection)
Email address (for billing, service use, and notifications)
Reservation details (for services used by the customer)
Details of the rented vehicle (for services used by the customer)
Phone number (for communication and service use)
PakuKympillä Oy automatically collects data on the use of online services and on the technical characteristics of the user’s devices. When necessary, PakuKympillä Oy may also collect and/or update user data from third-party sources such as public authority registers or private registry services.
Reservation Forms
Information collected via reservation forms is stored for customer service purposes but is not used for marketing.

The processing of personal data related to the rental transaction is outsourced to the key-automat, tracking, and reservation system providers, meaning they also process internal data.
Data may be disclosed when required by authorities or other parties with legitimate legal grounds, or to ensure compliance with service terms.
Data may also be disclosed in connection with business transactions such as mergers, acquisitions, outsourcing, or other similar arrangements, as well as within corporate groups or financial associations.
Protection of Personal Data
PakuKympillä Oy protects and maintains the personal data register appropriately in accordance with data protection legislation and all other applicable laws.
Rights of the Data Subject
Right to Information
Every person has the right to know what data has been stored about them in PakuKympillä Oy’s register. PakuKympillä Oy will provide information about the measures taken within one (1) month of receiving the request.
Information about available remedies, including the right to lodge a complaint with the supervisory authority, will be provided when necessary.
Right of Access
The data subject has the right to obtain a copy of the data free of charge.
If the request is submitted electronically, the information will be provided in a commonly used electronic format.
Right to Rectification
The data subject has the right to request correction of inaccurate data. A response will be provided within one (1) month of the request.
Right to Erasure
The data subject has the right to have their data erased if it is no longer needed, if consent is withdrawn, if processing is objected to, and there is no lawful basis for continuing processing.

Data Retention
Customer data is stored for six (6) years after the customer relationship ends or after a single transaction has been completed. Data is stored according to bookkeeping and other mandatory legislation, and in some cases for maintenance or security reasons.
Data in outsourced key-automat, tracking, and reservation systems is retained for two (2) years or for a longer period if required by law.
If data is needed for the establishment, exercise, defence, or dispute of a legal claim, it may be stored for as long as necessary.
Changes to the Privacy Notice
PakuKympillä Oy may update this Privacy Notice from time to time. We recommend checking the notice regularly for updates.
